Student Services
Dear Parent/Carer(s)
We have a ‘dedicated’ Student Services Team at the school and I would like to take this opportunity to inform you of a number of procedures and to introduce the following members of staff to you:
Sue Newbold - Exams & Student Services Manager
Jill Fletcher - Administrative Assistant
GinetteSargent - Receptionist/Administrative/Attendance Assistant
Heather Stenson - Exams Assistant & Attendance Officer
We are based in the Student Services Office and our function is to offer support to all students (and of course parents’/carers’) during their time at the school. Please contact us on (0115) 9744488 Ext 301, by email on This e-mail address is being protected from spambots. You need JavaScript enabled to view it. "> This e-mail address is being protected from spambots. You need JavaScript enabled to view it. or come in to Student Services Reception should you wish to speak to a member of staff. Staff will be on hand to assist you between the hours of 8.00am – 4.15pm Monday – Thursday and 8.00am – 3.45pm Friday (answer phone is available outside of these hours should you wish to leave a message).
For information, it is our responsibility to deal with all administration related to:
|
· Attendance, holiday forms, sickness and absence recording and reporting · Collection and processing of data for internal/external examinations · Consultation afternoons · Exclusions/Isolation room · First Aid emergencies |

Attendance
From September 2010 morning registration will be taken by the tutor. Period 4 is the main pm registration. Electronic registration is the responsibility of the teacher taking the class for all other periods. Students’ arriving at school after the register has been taken should report to Student Services to ‘sign in’ and they will be issued with a late arrival slip which is to be handed to the tutor/class teacher who has taken the register. Should we have any ‘unexplained’ absences, a member of our team will contact you to clarify the reason why your child has been away from school.
Illness/Emergency Absences
Absence due to illness/emergencies should be reported to Student Services as early as possible on the morning of each day of absence. Please call (0115) 9744488 Ext 301 where a member of the team will take your call with effect from 8.00am. For last minute appointments please either place a note in your child’s planner or send a letter for your child to hand in at Student Services. As all unexplained absences have to be clarified with parents’/carers’ it is very important that you provide this information to ensure your child’s attendance record is accurate.
Holidays
Absence from school due to holiday arrangements should be notified at least 4 weeks in advance. It is very important that you read Guidance Notes issued by the Nottingham Education Welfare Service before any application is made. Application Forms are available from Student Services or from www.wbs.eu.com (file path: communications, whole school, Leave of absence request form). Forms should be completed and returned to Ginette Sargent, Student Services, for authorisation. Each application is assessed on individual merit and you will be notified of the decision by post.
Change in personal information
Please advise us of any changes to your child’s personal information so that we can update our records accordingly.
School Uniform
All items of school uniform are now available directly from the Student Services Office. Should we not stock the required item(s) we are working very closely with our suppliers to provide a ‘next day’ service (subject to availability). The uniform shop is open daily from 2.45 – 3.45pm for students and 8.00am – 3.45 for parent/carers, Monday - Thursday term time only. A full price list and a calendar of uniform sale dates for summer 2010 are available on www.wbs.eu.com.
Fund Collection for Trips etc.
Please ensure that any money sent to school is in an envelope clearly marked with your child’s name, tutor group and the name of the activity. Cheques are the preferred method of payment and should be made payable to The West Bridgford School.
Student Telephone Access
Students are able to contact their parent/carer in the event of any emergency by using a telephone located in the Student Services Office. However, as we do not have a dedicated telephone line for student use we actively encourage students to make telephone calls using the public telephone in the staffroom corridor. As calls will be charged at the local rate it may be useful to ensure that your child has a small amount of change should they wish to use this facility.
Please do not hesitate to email us with any questions, change in student data or notification of absence. We look forward to meeting you at some point in the near future and we will be very happy to speak with you on (0115) 974 4488 Ext. 301 should you have any questions or concerns.
Yours sincerely
Sue Newbold
Examinations & Student Services Manager
